Each patient’s Payments tab contains encrypted money values and a local ledger.

  • A charge records an amount owed for one encounter and can be open, paid, or waived.
  • A payment records money received and its method.
  • An allocation links payment money to a charge.
  • Credit is received money not currently allocated to charges.

Use the billing action on an encounter. Confirm the dated price or waive the charge with a reason. Existing charges can be edited or deleted; waived charges remain explicit rather than disappearing.

  1. From the encounter or patient Payments tab, choose Record Payment.
  2. Enter the amount, date, and offered method.
  3. Choose the charge or charges to settle where the allocation control is offered.
  4. Save and review the resulting pending balance and credit.

Unallocated remainder becomes patient credit. Later charges can consume available credit. Editing or deleting a charge, payment, or allocation recalculates the affected balances; confirmations explain destructive consequences.

The patient’s custom price is effective-dated. Changing it affects eligible encounters from the selected boundary forward, not charges already created.
